Handling Incidents the Omega 365 Way
Built on Omega 365's Scope Items Concept
Incident Management in Omega 365 is built using our flexible Scope Items concept—a core part of the platform used across various processes like audits, inspections, meetings, deviation requests, queries and more.
A Scope Item represents a defined scope of work or something that needs structured follow-up.
For incident handling, this means incidents are managed in the same structured and traceable way as other business-critical processes, with clear steps, automation, and role-based responsibilities—without being isolated in a separate module.
By building on this common foundation, organizations benefit from a unified approach to task management, better cross-process visibility, and less need for separate training or system silos.
We Use it Ourselves
This isn’t just a solution we offer to others—we use it ourselves.
At Omega 365, we use the same system to report and manage incidents related to our own organization and products. That includes everything from internal security observations to technical issues in our software platform. It gives us a single, structured way to register, follow up, and learn from incidents—across all departments and teams.
At Omega 365, the same solution is used internally to report and follow up on everything from security observations to technical platform issues. It provides a single, structured way to register, manage, and learn from incidents—across all teams.
"By using our own solution, we continuously improve it and ensure it meets real-world needs—not just in theory, but in daily practice."

A User Interface That Matches the Process
To better support this kind of structured reporting and follow-up, we’ve introduced a new optional side-by-side layout for workflows.
This layout displays the form (with key incident details) on one side and the current workflow step on the other. It’s especially useful when users need to view and act on information quickly—for example, reviewing a technical query or processing an incident report.
We’ve also enhanced the step indicator: process steps are now shown visually at the top, with blue for completed steps and orange for the active one. This makes it much easier for users to see where they are in the process at a glance.
A Process That Fits Your Organization
The Incident Management process is not one-size-fits-all—and it shouldn’t be. In Omega 365, you can configure different processes based on the type of incident. Whether it’s related to:
Environment
Information Integrity
Facility
Personnel Safety, or
Other categories
…each type can follow a tailored process, while still being part of the same Incidents Register. This provides a unified overview, without sacrificing the specific handling each type of case may require.
Dynamic Execution Paths
Some incidents are straightforward. Others need escalation. To handle this, we use Execution Paths—a powerful feature that allows the process to branch based on key information. For instance:
A minor incident might go through a fast-track resolution path.
A critical data breach could trigger additional review steps, stakeholder notifications, or root cause analysis.
These dynamic paths ensure that your process stays efficient for smaller incidents, while still being robust enough for more serious ones.
