Managing Third-Party Reviews and Verification of Documents in Omega

Omega 365 Document Management streamlines Third-Party Verification (3PV) processes, enabling teams to submit, track, and manage compliance with regulatory and technical standards directly within the system.

Omega 365 Document Management supports integrated workflows for Third-Party Verification (3PV), allowing teams to submit and track documents sent to external verification bodies—such as DNV, ABS, or other independent reviewers.

This functionality helps ensure compliance with regulatory, contractual, and technical standards by enabling formal verification processes to be managed directly within the system.

What Is Third-Party Review and Verification?

Third-Party Review refers to the process of having a document or deliverable reviewed by an independent organization, confirming that it meets defined requirements. This is commonly applied in industries such as energy, maritime, and construction, where oversight by a recognized external party is often required for safety, legal, or quality assurance reasons.

The process supports practices recommended by standards such as:

  • ISO 9001 – Quality Management Systems

  • ISO/IEC 17020 – Conformity Assessment for Inspection Bodies

  • Industry-specific guidelines (e.g., from offshore regulators or classification societies)

Key Capabilities in Omega 365

  • Marking Documents for 3rd party review/verficiation: Documents can be flagged as requiring third-party review, either manually or through workflow configuration.

  • Submission by Originators: Document originators (e.g., contractors) can submit files for verification—even if the files are not part of a formal document revision. These files may differ from existing content or represent new contributions.

  • Multiple File Types: Submissions can include various file types depending on purpose—such as for review, comment, or information only.

  • Iteration Support: The verification process can include multiple review rounds (iterations), which is useful for clarification or rework phases. Some iterations may be for information only.

  • Status Tracking: Users can monitor the status of submitted files, including accepted, rejected, or pending feedback, within the Omega 365 interface.

  • Access Control and Audit Trail: The system maintains full traceability and permissions management throughout the review process.

Typical Use Cases

  • Technical documents submitted to DNV for independent design verification

  • As-built documentation requiring approval by regulatory bodies

  • Inspection or test reports that need third-party certification

  • Subcontractor deliverables requiring external confirmation before client submission

In the Document Register, one can indentify documents requirring 3rd party review, and have an overview of the status.
