Over the years, I have been involved in designing and configuring workflows that appeared perfect in theory, but failed in real-world project environments. They were simply not practical enough when faced with the day-to-day pressure and realities of project work.
That experience is exactly why proven, real-world business processes matter. The preconfigured workflows in Omega 365 are built on lessons learned from real projects, real users, and real constraints - shaped over more than 20 years of working with demanding organizations, and refined to work just as well for teams that want to adopt more structured and professional ways of working.

That is why the preconfigured workflows in Omega 365 also come with predefined roles. Each role is linked to specific responsibilities and tasks within the process.
When a person is assigned to a role, for example as a Query Coordinator , they automatically receive the tasks, responsibilities, and follow-up activities associated with that role. This makes responsibilities clear, reduces manual coordination, and helps ensure nothing is missed.
The result is less reliance on individual interpretation, fewer handovers, and more predictable execution, especially when many people and activities are involved.

While Omega 365 comes with proven, preconfigured business processes, we fully recognize that organizations are different — in size, maturity, and ways of working.
That’s why workflows in Omega 365 are flexible and not locked into a fixed way of working. They are designed to support three common realities:

For teams that want to get up and running quickly, the preconfigured workflows provide a solid, real-world starting point. They reflect ways of working that are already proven in practice, reducing risk and shortening time to value.
2. Organizations with established ways of working
Many customers already have well-defined processes that work for them. In these cases, the goal is not to redesign how work is done, but to implement a system that supports and enforces those processes consistently. Omega 365 adapts to established workflows, while still offering proven processes as reference and support where useful.
Across both scenarios, the workflows are:

The key difference is where you start. Whether you begin with proven workflows or existing processes, Omega 365 allows you to configure the system around how work actually gets done — not the other way around.

Some organizations fall in between. They may not have fully established processes, but still want to adjust roles, steps, or responsibilities to better fit how they work. For these teams, Omega 365 provides a flexible foundation - combining proven workflows with the ability to configure and shape them as needed.
Distribution of Business Processes
All new customers receive the standard business processes in Omega 365, including preconfigured role setups, ready to be used from day one. As described earlier, these processes can be further configured to suit organization-specific needs.
The same business processes can also be distributed to existing customers. Complete process configurations — including role definitions and custom-defined fields — can be exported from Omega 365 staging environments and imported into individual customer instances.
This ensures consistent delivery of proven process setups, while still allowing each customer to adapt them to local requirements.
Visualizing and Designing Processes with Diagrams
Omega 365 also includes Diagrams, a built-in tool for visualizing and working with business processes.
All preconfigured workflows are available in Diagrams, making it easy to see how processes are structured, how steps are connected, and where roles and responsibilities come into play. This gives teams a clear, shared understanding of how work is meant to flow - not just how it is configured in the system.
At the same time, Diagrams can be used to design and document new or adjusted processes. Organizations can model their own workflows visually, either as part of configuration work or simply to describe and align on how work should be done.
This makes Diagrams useful both as a documentation tool and as practical support when configuring, adapting, or discussing business processes.
